A retailer with several branches needs to know which location is answering before it offers collection. Available somewhere is not the same as reserved at the customer's chosen branch. Organize the shared inbox around an item reference, selected branch and confirmed reservation status so different colleagues do not promise the same item twice.

Ask for location and language early

Malaysia's official government language page describes Malay, other community languages including Mandarin and Tamil, and English in trade. Offer only the reply languages your team can review reliably, and record the customer's choice. IANA's country table includes Asia/Kuala_Lumpur and Asia/Kuching. Map the branch to its appropriate timezone identifier instead of copying a scheduler's personal settings.

Collect the exact model, colour or size, quantity and collection location. Ask whether a substitute is acceptable, but do not treat that question as authorization to change the order. The branch stock record should be authoritative. If an integration displays inventory, check how recently it was updated and whether it includes items already held for other customers.

Use a reservation step the branch can acknowledge

As an explicitly illustrative example, imagine a customer asking for a desk lamp at one branch while the inbox agent sees stock at another. The agent checks whether a transfer is possible, explains that the item is not yet reserved and assigns the request to the receiving branch. Only after a colleague accepts the hold does the customer receive collection confirmation. This is an invented scenario, not evidence of store coverage or delivery performance.

Use stages such as stock enquiry, branch check, transfer requested, reservation accepted and collected. A hold should have a reference and an agreed expiry determined by your own policy. If the customer changes branches, release or update the old hold through the inventory process before confirming a replacement. Record the decision so both locations can see what happened.

Keep broadcasts tied to a real preference

A product enquiry can be answered without adding the customer to every future launch campaign. Ask separately whether they want announcements for that product category. Save the opt-in wording and chosen language, then build the audience from those preferences. Honour a request to stop, including one received by a branch colleague, and remove the contact from queued audiences before the next send.

Before a campaign, check the product details and branch availability that the message describes. Provide an easy reply route for customers asking to reserve an item. Those replies need a stock owner; they should not be buried in a general campaign label. Review applicable template requirements whenever your business initiates another conversation.

Resolve the exceptions each day

Review holds nearing their agreed expiry, transfer requests without an owner and customers waiting for a substitution decision. Explain what was checked and what remains pending. A multilingual draft should preserve item codes and branch names exactly, with a human reviewing any stock promise or change to collection arrangements.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
