A property viewing inbox should answer questions about a specific listing and move an interested customer toward a checked appointment. It should not turn every enquiry into a confirmed viewing or imply that a property remains available simply because a message was sent. Use a listing reference and an appointment owner from the first reply.

Ask about language and the actual listing

Visit Qatar's official travel tips identify Arabic as the official language and describe English use. Offer reviewed Arabic or English replies according to the customer's preference. If another language is requested, arrange appropriate review before making commitments. For local viewing records, IANA lists Asia/Qatar. Include the full date and timezone for customers enquiring from abroad.

Ask for the listing reference, preferred viewing date and any questions that determine whether the property fits the enquiry. Avoid collecting identity documents or financial records merely to answer a listing question. Confirm that descriptions, photos and availability come from the current property record. Keep your business's actual contact details in replies; do not imply QuickWA operates a local property office.

Check access before accepting a time

For an explicitly illustrative example, imagine a customer asking to view two apartments on the same afternoon. One listing can be shown, while the other requires the property manager's approval. The inbox agent marks the second request pending and offers the first available appointment for acceptance. This invented example illustrates coordination; it does not claim a real listing, guaranteed access or market performance.

Use stages such as listing question, availability check, access requested, proposed slot, accepted viewing and follow-up decision. The person controlling property access should acknowledge the booking. If a customer asks to bring another attendee or changes the time, check the access arrangements again. Keep the meeting point and contact instructions tied to the confirmed listing.

Follow up on what the customer actually asked

After a viewing, record whether the customer wants additional information, another appointment or no further contact. Answer questions about terms from verified documents and refer decisions to the responsible professional. An automated draft should not invent contract provisions, local legal advice or promises that a listing will be held. When a property becomes unavailable, close or update its scheduled follow-ups before offering alternatives.

Keep listing broadcasts optional

Ask permission to send updates about the active viewing and separately about future listings. Record the customer's selected property preferences only when they have agreed to that purpose. Never treat an enquiry forwarded by another person as the recipient's consent. Honour requests to stop, remove withdrawn contacts from queued audiences and check applicable template requirements when your business initiates a later message.

At handover, review access checks and unanswered post-viewing questions. Every case should show the current listing status, last verified fact and next responsible colleague. Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
