A commercial cleaning enquiry should lead to a checked scope before anyone promises a service schedule. The building size, access conditions and requested work can change who needs to visit and what the quote includes. Keep the customer's requested outcome separate from the work your operations team has agreed to perform.
Start with the site and the contact's preference
The International Trade Administration's Oman guide identifies Arabic as the official language and describes English use in business. Ask the site contact's preferred reply language and preserve building names in the original wording when translating. IANA lists Asia/Muscat. Put the date and named timezone in site-visit confirmations.
Ask for the site address, type of premises, requested service and preferred assessment time. Confirm who can arrange access and approve the scope. Collect practical access details rather than unrelated tenant information. Use an appropriate secure route for restricted building credentials; a support note should not become a general repository of access secrets.
Assess before offering a recurring schedule
For an explicitly illustrative example, imagine an office manager requesting a recurring cleaning visit for two floors. The agent discovers that only one floor can be accessed during the proposed assessment. The scheduler records that limitation and arranges a separate check for the remaining area before issuing the complete proposal. This is an invented coordination example, not a claim of coverage or a guaranteed cleaning result.
Give the case stages such as scope enquiry, access check, assessment booked, quotation review, customer approval and roster confirmation. The assessment owner should record what was inspected and what remains outside the reviewed scope. If the customer adds another area, ask operations to check the revised work before amending the quote.
Confirm each booking against the roster
A customer's preferred day belongs in the request, but the roster determines whether the team can accept it. Include the agreed location, service scope and arrival arrangement in the confirmation. If the visit changes, update the operational record before issuing another reminder. A configured appointment tool can assist, but verify its handling of recurring changes and cancellations.
Keep service complaints attached to the relevant visit reference. Ask what did not match the agreed scope and let the supervisor review it. Do not use an automated reply to promise a refund, extra visit or particular completion result. An internal handover should identify the unresolved question and the person authorized to decide.
Separate operational contact from announcements
Ask permission for assessment and service messages, recording the contact and purpose. Request separate consent for optional new-service broadcasts. If a business contact changes roles, check the replacement contact's permission rather than carrying it over automatically. Honour opt-outs, inspect queued audiences and review applicable WhatsApp template requirements before initiating a later message.
Each day, review incomplete assessments, quotes without acceptance and visits with access concerns. Assign a next action that resolves the actual obstacle. Close the case after the operational outcome and the customer's remaining question have been checked.

Make dates and amounts unambiguous
A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone
Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use
Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.
Keep service messages and promotions separate
Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.
Give automation a clear boundary
Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
