A spare-part supplier should make the exact requested item easy to identify before discussing collection. Similar names or photographs do not prove that two components are interchangeable. Build the inbox around the customer-supplied part code, the equipment reference and the colleague qualified to confirm compatibility.

Preserve codes when changing reply language

The International Trade Administration's Kuwait guide identifies Arabic as the official language and notes English use in international procurement communication. Ask the buyer's preferred reply language while keeping part numbers and manufacturer references exactly as supplied. IANA lists Asia/Kuwait. Use that local identifier and a full date for collection or consultation appointments.

Collect the part number, relevant equipment model, quantity and whether the enquiry concerns availability or suitability. A clear image of a label can help resolve transcription errors. Do not ask customers to dismantle equipment to obtain information. Refer technical assessment to a qualified colleague and state clearly when compatibility remains unconfirmed.

Treat a substitute as a separate decision

For an explicitly illustrative example, imagine an office equipment supplier receiving a request for a replacement paper tray. The exact code is unavailable, and another tray looks similar. The agent asks the product specialist to compare the manufacturer references, then offers only a reviewed alternative for the buyer's acceptance. This is a hypothetical workflow, not a claim that the parts fit or a promise of stock.

Use stages such as identification needed, specialist review, exact item check, alternative proposed, buyer acceptance and collection ready. Save the source used to check suitability in an internal note. If the buyer changes the equipment model, reopen compatibility review rather than keeping the old answer. The customer should know which detail changed the decision.

Connect sales with the actual stock record

Confirm quantity and reservation status against the supplier's inventory process. A sent quote does not mean the item has been held. Before sending collection instructions, obtain acknowledgement from the stock owner and check the location's actual opening hours. If an integration displays availability, establish what that field means and whether it accounts for other reservations.

Keep disputed suitability, missing specifications and return requests with a person who can review the evidence. Quote your current policy accurately and avoid inventing manufacturer guarantees. Close a case when the accepted item and outcome are recorded, not when the buyer stops replying to a question.

Keep product alerts permission based

Ask whether the buyer wants updates on this request. Seek separate permission for future product or restock broadcasts, with a category choice where useful. A procurement contact shared by a colleague is not automatic consent. Record the permission source, honour stop requests and check queued campaigns before another send. At shift change, review cases waiting for specialist identification and stock acknowledgement first. Leave the next agent a concise note with the exact code, verified finding and remaining decision.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
