A WhatsApp sales pipeline should tell your team what happens next
Turn enquiries into owned next steps, with useful pipeline stages, follow-up stop rules and a clean handover between sales and support.
A sales board full of contacts can look busy while telling the team almost nothing. "Interested" is not a next action. It does not say which product the customer needs, who is replying or whether a quote was already promised yesterday.
Start with a familiar situation: a customer asks about a desk, receives the dimensions and then asks whether delivery is available to their address. This is a planning example. Moving the contact to "Warm lead" has not answered the delivery question. Assigning the stock and delivery check to a person has.
Name stages after decisions
Use a small set of stages the team can explain consistently. An example is New enquiry, Requirements known, Quote sent, Waiting for customer, Won and Closed. The useful part is the definition behind each label, not the number of columns.
For "Quote sent," record which quote, who sent it and what should happen if the customer responds. For "Closed," distinguish a completed sale from a person who does not want further contact. Otherwise the next campaign may quietly reopen a conversation that should have stopped.
Every open enquiry needs an owner
Keep the owner and next action alongside the conversation. A practical internal note could say: "Customer needs a 120 cm desk. Delivery area needs checking. Asha will confirm by the next working day." Avoid promising a deadline the team cannot meet.

Follow up for a reason, not because a timer fired
A scheduled follow-up should check whether it is still relevant. If the customer has already bought, opted out, asked for support or received a manual response, the original sales sequence may no longer make sense.
Write the stop conditions before the message sequence. Then choose the message that fits the enquiry. Hand the sale over without losing the promise
When a sale is completed, give support the order reference and any commitment the customer was given. If the delivery date was tentative, preserve that distinction. A handover that turns an estimate into a guarantee creates a dispute the team could have avoided.
Review a few open enquiries together each week. Look for leads with no owner, a stage that has not changed and a follow-up whose purpose nobody can explain. Count completed next actions alongside conversions, rather than treating every automated send as sales progress.
