A customer asks whether you deliver to their town. That is a good question for a bot with a current delivery-area list. The same customer says their order arrived incomplete. That is not a good moment for the bot to guess what the business should do.

The distinction matters more than how natural the bot sounds. A helpful automation knows what it can answer, what it needs to collect and when someone else must make the decision.

Start with a small, maintained knowledge base

Choose the questions the team answers repeatedly: opening hours, delivery coverage, product care or how to book an appointment. Give each answer an owner. Remove expired offers and conflicting policies rather than asking the AI to decide which version is correct.

Write down what the bot must not promise

List decisions that need authorization: a refund, a stock reservation, a discount exception or a change to an order. Give the bot a useful next step for those cases. It can collect an order reference and explain that a team member will check, without inventing the outcome.

Be clear that an automated assistant is involved. Do not give it a fictitious staff biography or claim that a person has reviewed an issue when no one has. Natural writing should make a conversation easier to follow, not hide who is answering.

A handover needs context

Decide what the receiving agent should see: the customer's question, information already supplied and the reason the bot stopped. Route the conversation to the right team. Avoid asking the customer to repeat everything simply because the next reply comes from a person.

For an incomplete order, that might mean gathering the order reference and identifying the missing item, then assigning support. Keep sensitive information out of the chat unless it is actually needed and appropriate for your workflow.

Test the awkward questions

Use a synthetic checklist before enabling the workflow for customers. Ask about an unavailable product, an ambiguous delivery area, a policy exception and a direct request for a human. Include misspellings and short messages like "not that order."

Judge whether the assistant finds the right boundary, not whether every response sounds confident. An honest handover is a better result than a polished answer with the wrong promise.

Keep a weekly review small enough to happen

Look at a few handovers and a few bot-only conversations. Correct the source information when an answer is wrong. If a question consistently needs a person, route it earlier. Do not bury a team decision inside a longer prompt and call the problem solved.
