A packaging supplier needs to distinguish an enquiry for a sample from approval of a production specification. A buyer can like the appearance of a box while still questioning its dimensions or finishing. Use a sample reference that carries the discussion into the quotation, and record precisely which version the buyer accepts.

Keep technical details stable across languages

The International Trade Administration's Vietnam guide identifies Vietnamese as the official language and describes increasing English use. Ask each buyer's preference and arrange human review of specifications when translation is needed. IANA's table lists Asia/Ho_Chi_Minh for Vietnam. Use that identifier and the full date for local meetings rather than letting an overseas buyer's timezone control your supplier calendar.

Collect intended use, dimensions and units, quantity request, material choice, artwork version and sample destination. Keep product codes and measurements unchanged in translated replies. If a buyer sends conflicting dimensions, ask which version is correct. Do not quietly choose the larger or most recent value, because that decision changes what production will make.

Separate appearance approval from a complete brief

For an explicitly illustrative example, imagine a stationery brand reviewing two carton samples. The buyer chooses the matte finish but asks to move the printed logo. The agent records the finish choice as accepted and the artwork as awaiting revision. A new sample or proof receives its own version reference before the buyer approves it. This is a hypothetical process, not a real manufacturing outcome or market statistic.

Use distinct statuses for sample requested, specification check, sample dispatched, feedback received, revision review and approved brief. Ask who can authorize the final specification. If procurement forwards a designer's informal comment, confirm whether it is a suggestion or approval. Give the buyer a concise summary of accepted details and outstanding questions before the next step.

Make the sales handover usable

When the brief is accepted, transfer the sample reference and approval history to the quotation owner. The quoted production schedule must come from a checked operational record. Keep packing, delivery and any cross-border questions with the people responsible for those decisions; an inbox template should not invent customs advice or shipment guarantees. Share dispatch references only once verified.

Follow up with permission and a reason

Ask whether the buyer wants WhatsApp updates about the sample. Obtain a separate choice for future product announcements. Record the purpose and consent date, and let the buyer withdraw permission easily. A relevant follow-up asks about the unresolved sample decision instead of repeatedly pushing an unapproved quotation. Honour opt-outs across pending audiences, and check applicable template requirements before initiating another message.

Review samples with no feedback, specifications with conflicting units and revisions awaiting an approver. Assign one next action to each case. A short internal summary should tell the next colleague what is accepted and what remains open without replacing the original buyer messages.

Make dates and amounts unambiguous

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
