A craft workshop organizer needs more than a list of people who have asked about a session. Each enquiry should show the chosen activity, preferred date, number of places requested and current booking status. Keep a request for information separate from a place that your team has actually confirmed.

Give participants a clear language and time choice

The International Trade Administration's Thailand guide identifies Thai as the national language and notes English use in Bangkok's business community. Ask participants which language they want, rather than assuming an English advertisement determines their support preference. IANA lists Asia/Bangkok. Write session dates and local times explicitly, especially when someone is enquiring before travelling.

Collect the session type, desired date, group size and material option. Explain any prerequisites using your actual workshop information. Ask only about needs that affect participation, and send sensitive questions to an appropriate private process. The organizer's roster should control capacity. A campaign reply is a lead until a colleague checks that the requested places can be held.

Make group bookings visible without creating group confusion

As an explicitly illustrative example, imagine a ceramics studio receiving a request for a private beginner session. The organizer wants several places but has not chosen between two dates. The inbox agent records both requests, checks the instructor's roster and offers one confirmed option for acceptance. This is an invented example, not a claim about local workshop popularity, booking conversion or QuickWA service coverage.

Identify the person authorized to confirm a group booking. Keep attendee details separate from the organizer's approval so a question from one participant does not cancel the whole group. Once a date is accepted, record the session reference, location and selected materials. If the group size changes, check capacity again before updating the confirmation.

Treat reminders as opportunities to resolve changes

A useful reminder repeats the accepted session and gives a direct way to request a change. Assign those replies to someone who can check the roster. If a participant asks to switch activities, verify material preparation and instructor availability before agreeing. Use reviewed Thai and English versions of preparation instructions, preserving the same session reference and safety information.

Broadcast only to the audience that chose it

Ask separately for booking messages and announcements about future workshops. Record the chosen categories and language, not just a yes beside a phone number. A customer interested in one private session may not want weekly course promotions. Honour stop requests in the conversation or through another supported contact route, and inspect queued campaigns before sending. Check applicable template requirements for outbound follow-ups.

Before closing a session's inbox work, reconcile the roster with accepted bookings and unresolved change requests. Leave an owner for each discrepancy. Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
