A tailoring business needs a clear answer to one question before work begins: what exactly did the customer approve? An inspiration photo, a fabric enquiry and a confirmed alteration are different records. Build the conversation around the garment reference, requested work and latest approval, rather than asking the workshop to reconstruct decisions from a long chat.

Agree on the language and the garment

The US International Trade Administration's Pakistan guide identifies Urdu as the national language and English as an official language. Offer a language choice instead of assuming every customer wants the same wording. Retain the customer's original description, especially when it names a cut, colour or fabric. For appointments, use the Pakistan identifier Asia/Karachi listed in IANA's country timezone table, with a full date.

Make approvals specific enough to use

Ask whether the customer is ordering a new garment or changing an existing one. Record the item reference, agreed design, measurement source and collection preference. Avoid copying unrelated personal details into workshop notes. A photograph can help identify the garment, but it cannot establish every measurement or authorize every change. Have the responsible tailor confirm the details that determine the work.

For an explicitly illustrative example, imagine a customer requesting shorter sleeves on a blue kurta while also asking about a second garment. The inbox agent creates separate references, repeats the sleeve instruction and asks for confirmation. The workshop receives only the approved alteration. The second enquiry stays pending until its fabric and design are agreed. This is a hypothetical business process, not an actual customer outcome or a claim about demand.

Handle revisions without losing the first instruction

Give each revision a date and an owner. If the customer changes the neckline after approval, pause the affected work and ask the tailor whether the change remains possible. Explain the checked options before asking the customer to choose. Preserve the previous approval for context, but mark the newest accepted version clearly. Never let an automated draft turn an unreviewed request into a promise.

Keep collection notices separate from promotions

Send a collection notice only after the workshop confirms readiness. Include the garment reference, collection location and the business's actual opening hours. Ask permission for order messages and separately for future fabric announcements; a fitting enquiry is not permission for a promotional broadcast. Record where consent came from. If the customer says no more messages, apply the opt-out before the next send and review queued campaigns as well. Check applicable template requirements when contacting a customer again.

At handover, review garments awaiting approval, revisions awaiting a tailor and completed work awaiting collection. Leave a short note describing the last confirmed instruction and the next action. Close the case after the agreed collection or resolution is recorded, not simply because an outbound message was sent.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
