Make the measurement visit precise

The International Trade Administration's Nepal guide describes Nepali as the main business language and notes English use. Ask the customer which language they prefer for instructions and approvals. The guide records Nepal's quarter-hour timezone offset, while IANA identifies Asia/Kathmandu. Store the named timezone and appointment date rather than rounding a reminder to a familiar neighbouring offset.

Ask for the furniture type, service address, relevant room access and a preferred visit date. Photos can provide context, but distinguish customer-supplied dimensions from measurements your team has checked. A scheduler should verify coverage and staff availability before offering a confirmed slot. Put the access contact in the visit record so the measuring colleague does not need to search several chat threads.

Carry the checked specification into the quote

For an explicitly illustrative example, imagine a Kathmandu furniture studio quoting a shelving unit. A customer supplies a wall width, but the measuring colleague finds that a doorway limits the installation approach. The agent records the verified dimensions, asks the designer to revise the proposal and sends a reviewed specification for approval. This is a hypothetical example, not a statement about an actual business or a service guarantee.

Attach an identifier to the specification and mark revisions clearly. Record material, finish, agreed dimensions and any exclusions in the accepted version. If the customer requests a different finish after approval, ask production whether the change can be made and whether a revised quotation is needed. Avoid translating technical measurements freely; preserve the original units and have a person check any conversion.

Book installation only when dependencies are checked

Before confirming installation, verify production readiness, transport arrangements and the customer's access availability. State whether the visit has an exact time or an arrival window according to your own process. If an integration changes the booking record, check the revised information before sending another reminder. A failed message should leave an exception for the owner, not silently close the booking task.

Let customers choose their follow-ups

Ask permission for measurement, approval and installation updates. Request separate consent for new furniture announcements, and keep that preference outside the production decision. A customer declining marketing should still receive the agreed response to an open service enquiry through an appropriate permitted route. Honour a broader stop request, check pending audiences and review template requirements before initiating another message.

At handover, list the requests waiting for a visit, a design decision or installation acceptance. Include the current specification reference and next responsible colleague. Close the workflow after the installation record and any remaining customer question have been reviewed.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
