WhatsApp wholesale order substitution workflows in Nigeria | QuickWA

Coordinate wholesale line items, accepted substitutions, dispatch evidence and language preferences through a clear Nigeria order-support process.

The QuickWA Team · 2 October 2026

A wholesale buyer may place one order containing several items, then ask to change only one line. The support team needs to preserve that distinction. Build the conversation around an order reference and item-level decisions so a substitution on one product does not become permission to change the rest of the shipment.

Record language and item details together

The International Trade Administration's Nigeria guide identifies English as the official language and mentions Yoruba, Hausa and Igbo among indigenous languages. Ask the buyer's preferred reply language and arrange review where required. Do not infer preference from a business name. For dated collection or dispatch discussions, IANA lists Africa/Lagos.

Collect the order reference, item code, requested quantity and delivery or collection choice. Confirm who can authorize changes for the buyer. The order record should show requested quantities separately from allocated quantities. A message asking whether an alternative exists should remain a question until the buyer accepts a reviewed option.

Approve substitutions one line at a time

For an explicitly illustrative example, imagine a wholesaler supplying notebooks and document folders to a shop. The folder colour is unavailable, while the notebooks are ready. The agent offers a checked colour alternative for the folder line and asks whether the buyer wants the whole order together or an approved partial arrangement. These invented details are a workflow example, not stock information, a delivery guarantee or a business result.

Record the original item, proposed alternative, quantity and acceptance date. Keep any price or fulfilment change with that decision. If the buyer declines, return the line to the order owner for a revised option. Do not let the warehouse infer acceptance from an unrelated thumbs-up elsewhere in the conversation.

Send fulfilment updates backed by the order record

Before describing the order as dispatched, check the packed lines and actual dispatch reference. If some items remain pending, say which ones and give them an owner. Keep customer address changes in a review stage until fulfilment confirms whether the change is possible. Avoid promising arrival dates solely from a generic template or an integration field whose meaning has not been checked.

When a buyer reports a shortage, compare the accepted order, packing record and relevant evidence. Ask focused questions rather than demanding the entire order again. Escalate disputed quantities or charges to the colleague authorized to decide, and record the resolution against the affected line.

Separate wholesale updates from catalogue broadcasts

Ask permission for order messages and separately for future catalogue announcements. Record product interests only for the agreed purpose. A reseller's contact list is not permission to message its customers. Honour stop requests, remove withdrawn contacts from pending audiences and review applicable WhatsApp template requirements before outbound follow-ups.

At the daily handover, review unaccepted substitutions, partial orders and shortage cases. Each should show the accepted item details, last verified event and next owner. Close the case only after the remaining order decision is resolved.

Set up the workflow responsibly

Use only features available on your eligible QuickWA plan and verify configuration, permissions and integrations before relying on them. QuickWA plans start at $5/month; review Billing for current details. Provider and AI fees may be separate. Free Virtual Number for WhatsApp means one USA number on eligible paid plans while the subscription is active, subject to availability and registration requirements. Verification is not guaranteed, and a local number is not promised. Follow WhatsApp policy. API access cannot prevent restrictions.

Can one approval authorize substitutions across an order?

Record acceptance for each affected item, including quantity and any price or fulfilment change, rather than interpreting a general reply broadly.

How do we explain a partial dispatch?

Identify the dispatched and pending lines using verified records and give the remaining items a responsible owner.

Language and currency references come from Unicode CLDR locale data. They are not a statement about every resident, current legal status, market demand or supported checkout currencies. Timezone identifiers come from IANA. Ask your customer which language, currency and location apply to their conversation.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Customer date and time

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.

Sources and limits

This reference covers ISO countries and territories, including locations without a permanent resident market. Listing a location is not an endorsement, a local office, a local-number offer or a statement that providers can serve it. Dataset references are useful for preparation; customer preferences and current provider requirements take priority.

Review account plans in Billing

Does selecting Nigeria change billing or guarantee a number?

No. Website country and language selections do not change account billing, plan permissions or provider eligibility. Review actual checkout terms in your account. An included virtual number is a USA number on eligible paid plans, subject to availability and registration requirements.

Can this reference guarantee that WhatsApp will not restrict my account?

No. Consent, content, business eligibility, message quality and platform rules still apply. Keep a human escalation route and follow Meta's current requirements.
