A guesthouse inbox should help staff answer an enquiry without accidentally confirming a room. Separate availability questions, booking requests and changes to an existing reservation. Keep the guest's reference, stay dates, room request and next decision together so the person on the next shift can continue with confidence.

Prepare language choices before the arrival rush

Sri Lanka's Cabinet Office language-policy notice describes Sinhala and Tamil as official languages and English as a link language. Ask which language the guest wants for written replies. Keep names and booking identifiers consistent across translated messages. For local arrival times, IANA lists Asia/Colombo; include the date and verify the actual property's operating arrangements.

Check availability against one reservation record

Ask for arrival and departure dates, number of guests, room preference and any relevant accessibility question. Collect only what staff need to answer the request. Choose the reservation system or register that controls availability. A message from an inbox colleague is not evidence that a room has been held. Have someone with booking authority confirm the status before describing the reservation as accepted.

For an explicitly illustrative example, imagine a guest requesting two rooms and a late arrival at a small property. One room is available for the full stay, while the second needs a check. The agent explains that the request is pending, asks whether different room arrangements would be acceptable and assigns the availability check to reception. This scenario is invented; it does not claim actual inventory, a local QuickWA office or a guaranteed accommodation service.

Make arrival changes actionable

When a guest sends a revised arrival time, compare it with reception coverage before promising access. Confirm the property address and approved arrival instructions from your own records. Do not generate a new door code in a draft or circulate access information to an unrelated contact. If the change affects a service booked separately, assign that change to the colleague who controls it.

Use internal notes for details such as a revised arrival date, an unresolved room question or a request awaiting the manager. Keep guest-facing replies short and factual. Translation assistance can help draft an answer, but a person should check room categories, cancellation decisions and sensitive access instructions. Confirm a resolution in the reservation record before closing the conversation.

Distinguish stay messages from offers

Ask permission for booking and arrival messages. Offer a separate, optional choice for future seasonal announcements, and record the answer. Do not add every guest to a broadcast audience. Honour an opt-out received in either language, and inspect queued messages so the change takes effect before another campaign. Check WhatsApp template requirements before initiating a later message.

At shift change, review pending reservations and changed arrivals first. Each open case should show who will answer next and which record was checked. A delivery receipt alone cannot tell you whether the guest has accepted a proposed change.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
