A tutoring service should guide an enquiry toward a suitable, checked session without collecting more learner information than it needs. Start with the learning topic, session format and contact responsible for the booking. Keep a request for a trial separate from a tutor allocation or ongoing course enrolment.

Choose a clear contact and reply language

The International Trade Administration's Kenya guide identifies English and Kiswahili as official languages and describes English use in commerce. Offer reviewed replies in languages the team can support, then record the contact's preference. IANA lists Africa/Nairobi. Use a full date and local timezone for trial sessions, including remote sessions.

Ask for the topic, broad learning level, preferred format and availability. When a guardian manages a learner's booking, keep that authorized contact visible and follow your safeguarding process. Avoid requesting sensitive school records or personal documents merely to offer a session. Share only the information the tutor needs to prepare, through the appropriate controlled process.

Match availability before sending confirmation

For an explicitly illustrative example, imagine a guardian asking for an introductory mathematics session after school. The inbox agent records the preferred time, checks a suitable tutor's roster and offers an available slot for acceptance. The guardian then asks to change from online to in-person, so the agent rechecks location and availability. This is a hypothetical scheduling example, not a claim about educational outcomes or service coverage.

Use stages such as topic review, tutor check, trial proposed, accepted booking and follow-up requested. The confirmation should include the checked format, date, time and meeting instructions. Do not share another learner's contact details or conversation. If the customer requests a different tutor, leave the assignment pending until the replacement accepts.

Give trial follow-up a defined purpose

After the trial, ask the booking contact whether they want to discuss next steps. Record the response before offering an ongoing schedule. A positive comment about the session does not itself authorize enrolment or payment. Quotes and cancellation information should come from the service's current records, with a person reviewing exceptions.

Keep attendance questions separate from learning assessments. The shared inbox can coordinate a booking, but it should not become an unrestricted store of learner evaluations. When a tutor sends a scheduling change, update the authoritative roster and obtain the contact's acceptance before issuing a replacement reminder.

Ask separately about course announcements

Seek consent for session messages and a separate optional choice for future course broadcasts. A guardian's permission applies to the agreed communication purpose, not automatically to every family member. Provide an easy stop route, honour withdrawals across queued campaigns and check applicable WhatsApp template requirements before initiating later messages.

At handover, prioritize unmatched enquiries and trial changes. Leave the next agent the approved contact, preferred language, checked session details and next action. Close the booking conversation only after unresolved scheduling questions have an outcome.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
