A boutique preorder is a promise to investigate or reserve an item according to your business process, not proof that it has arrived. The inbox should make that distinction easy to see. Connect the customer's chosen variant to the supplier check, accepted order and verified collection status instead of answering from a campaign image alone.
Use reviewed product wording
The International Trade Administration's Italy guide identifies Italian as the official language and emphasizes Italian business correspondence. Offer Italian replies where your team can review them and record other requested languages. Keep style codes and size labels stable when translating. IANA lists Europe/Rome; calculate reminder times for the actual collection date rather than using a fixed offset.
Ask for the product reference, colour, size and preferred collection location. Clarify whether the customer wants an availability answer or intends to place a preorder. Check your current process for holds, supplier orders and acceptance. A customer's requested occasion date should remain a request until the relevant operational records support a commitment.
Check the supplier before confirming the choice
For an explicitly illustrative example, imagine a boutique showing a new bag in two colours. A customer requests the darker variant, but the supplier confirmation applies only to the lighter one. The agent keeps the original request pending, explains the checked alternative and asks whether the customer wants it. This invented example is not a claim of stock availability, delivery performance or an actual QuickWA customer.
Use stages such as variant enquiry, supplier check, option proposed, customer acceptance, arrival review and collection ready. Record the accepted style and colour explicitly. If the customer later changes the variant, ask the order owner whether the change remains possible before updating the record. A general reply praising the product should not count as acceptance of a substitution.
Send collection notices after an arrival check
Inspect the received item against the accepted order before marking it ready. Include the product reference, verified branch and your actual collection arrangements. If the item differs, give the discrepancy an owner and tell the customer what is being reviewed. Avoid a generic ready message that hides the unresolved variant question.
When collection is delayed, consult the hold policy and current record before sending another reminder. Handle return or exchange requests using the business's published process and appropriate review. Support drafts should not invent manufacturer guarantees or local consumer-law advice.
Let customers choose future launches
Ask permission for preorder updates and separately for product-launch announcements. Record category and language preferences only for the agreed purpose. A customer who requests one availability check should not enter every seasonal broadcast. Honour stop requests across pending audiences, and check applicable WhatsApp template requirements before initiating a later follow-up.
At the end of each shift, review supplier checks without an answer and arrived items without confirmed collection details. Leave the accepted variant and next owner visible. Verify configured inventory or commerce integrations against the boutique's actual order process.

Make dates and amounts unambiguous
A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone
Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use
Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.
Keep service messages and promotions separate
Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.
Give automation a clear boundary
Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
