An event decor team needs a usable brief, not just a collection of inspiration photos. The customer may like a colour palette without accepting the proposed layout or installation schedule. Keep each decision attached to an event reference so sales, preparation and the on-site team can see the same accepted plan.

Start with venue context and language choice

The International Trade Administration's Ghana guide identifies English as the official language and mentions local languages including Ewe and Ga. Ask what reply language the customer prefers and arrange review where needed. For event dates and installation windows, IANA lists Africa/Accra. Record the date and local timezone rather than only an informal morning instruction.

Collect the event type, venue, intended date, relevant guest-count estimate and requested decor elements. Ask who can approve the brief and who controls venue access. Inspiration images should be treated as references, with ownership and use considered through your own process. Explain the proposed scope in words so the customer can approve specific elements.

Make revisions visible to preparation staff

For an explicitly illustrative example, imagine an organizer requesting a welcome desk and fabric backdrop for a company reception. They accept the colours but later move the desk to a different entrance. The inbox agent asks the preparation team to check the revised layout and issues a new brief for acceptance. This invented scenario is not an actual event result or a guarantee about venue arrangements.

Use statuses such as brief incomplete, venue check, proposal review, revision requested, accepted plan and installation confirmed. Give each proposal a version identifier. Record accepted choices separately from ideas still under discussion. If more than one customer contact sends instructions, ask the designated approver to settle the final version.

Check installation and collection as separate bookings

The event start time does not establish when the team can enter the venue. Verify access with the responsible contact and confirm installation and collection arrangements independently. Include location, agreed scope and named on-site contact in the operational handover. If the venue changes, recheck the plan rather than carrying the old access instructions forward.

When an item becomes unavailable, ask the preparation owner for reviewed alternatives and obtain customer acceptance. Do not allow an automated draft to substitute materials or promise a visual result. After the event, keep any reported discrepancy attached to the accepted brief and assign a person to review it.

Keep portfolio broadcasts optional

Ask permission for event coordination messages and separately for future portfolio or service announcements. Do not add guests or venue staff to campaigns simply because their numbers were supplied for access. Record the consent source, honour stop requests and check queued audiences. Review applicable WhatsApp template requirements when initiating a later message.

Before each shift ends, review briefs awaiting approval, access checks and collection changes. Leave a clear note identifying the latest accepted version and the next colleague responsible. This keeps preparation aligned with what the customer actually agreed.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
