A language school inbox should help someone choose an appropriate next step without enrolling them simply because they asked a question. Separate general course interest, a placement appointment and acceptance of a particular class. Keep the learner or authorized booking contact attached to the checked schedule and current course information.
Collect the language the customer wants to study, broad level, preferred format and availability. If a guardian manages the booking, keep that authorized contact visible and follow your safeguarding process. Avoid asking for unnecessary personal records before answering a course enquiry. Use the school's current course record for dates, prerequisites and available places.
Keep placement separate from enrolment
For an explicitly illustrative example, imagine a customer enquiring from the Canary Islands about an online course run by a mainland school. The agent books a placement conversation using the correct local times, then sends reviewed class options after the assessment. The customer chooses one option before enrolment is confirmed. This is a hypothetical example, not a claim about educational results or actual course capacity.
Use stages such as course question, placement requested, appointment accepted, options sent, enrolment review and confirmed class. The placement result should reach only the staff who need it through an appropriate process. Do not treat attendance at the placement conversation as acceptance of a paid course or an ongoing schedule.
Make schedule changes understandable
When a class date or format changes, consult the authoritative timetable and ask the customer to accept the revised arrangement where needed. State the full date, relevant local time and meeting format. Keep old reminders from describing the previous schedule. If an integration updates appointments, verify how cancellations and reschedules are handled before relying on it.
Questions about fees, withdrawal or certificates should use the school's current published information. A support draft should not promise a qualification, proficiency improvement or legal entitlement without a verified basis. Route disputed enrolment details to someone authorized to decide and preserve the customer's original request.
Keep course broadcasts an optional preference
Ask permission for enquiry and appointment updates, and separately for future course announcements. A placement form should not silently subscribe every learner to marketing. Record category and language choices, provide an easy stop route and remove opt-outs from queued audiences. Review applicable WhatsApp template requirements before initiating a later message.
At handover, prioritize appointments with timezone ambiguity and customers awaiting a class decision. Leave the checked timetable reference and next owner in the case. Close the enquiry after the accepted next step and remaining questions are recorded.

Make dates and amounts unambiguous
A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone
Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use
Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.
Keep service messages and promotions separate
Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.
Give automation a clear boundary
Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
