An appliance service inbox needs to get a request to the right person before it offers a remedy. A customer reporting a noisy washing machine may need an inspection rather than a replacement part. Record the reported symptom, appliance reference and requested next step, then let the qualified service team decide what can be offered.

Ask useful questions in the customer's chosen language

The International Trade Administration's Egypt guide describes Arabic and English use in business settings. Ask whether the customer wants Arabic or English replies, and keep the appliance model unchanged across versions. IANA lists Africa/Cairo. Confirm appointment times for the actual date with a timezone-aware calendar rather than reusing a fixed offset.

Collect the model if available, symptom, service address and a preferred inspection window. Request a photo of the model label only when useful, and explain what information is needed. Avoid encouraging the customer to open equipment or perform a repair in chat. Direct urgent or unsafe situations to an appropriate qualified service route; the inbox workflow is for scheduling and case coordination.

Book an inspection before promising a fix

For an explicitly illustrative example, imagine a service desk receiving a report that an appliance makes an unusual noise. The scheduler checks coverage and technician availability, then confirms an inspection. After the visit, the technician recommends a part check before quoting further work. The agent communicates that pending step instead of promising immediate completion. These details are invented and do not describe a diagnosis, service success rate or QuickWA customer.

Keep reported symptoms separate from technician findings. An inspection booking should state the location, agreed visit window and checked scope. When the customer asks whether parts are included, consult the quotation or service policy before replying. If findings change the scope, send a reviewed proposal and record acceptance before authorizing additional work.

Give exceptions a human owner

Assign unavailable parts, disputed findings and missed appointments to a named colleague. A useful update says what was checked, what still needs a decision and when the business will next review the case. Do not let a draft invent stock, warranty coverage or a guaranteed completion date. If the customer changes the address, ask the scheduler to verify coverage again.

Keep service updates distinct from sales

Ask permission for messages about the service request and record the agreed purpose. Offer a separate optional choice for future service announcements. Do not add an appliance complaint to a promotional audience by default. Honour opt-outs, review messages already queued and check WhatsApp template requirements before initiating a later update. Keep the language preference attached to the case so another shift does not send an unreadable reply.

Review appointments awaiting confirmation and work awaiting customer approval at the end of the day. Close the case after the service record and any unresolved customer question have been checked, rather than treating a sent message as proof of completion.

Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
