A personalized gift order should carry the customer's accepted wording all the way to production. A small spelling correction can change the finished item, so do not rely on someone remembering which message was final. Use a job reference, a reviewed proof and a clear acceptance step before releasing the work.
Preserve the customer's text exactly
The International Trade Administration's Colombia guide identifies Spanish as the official language and recommends Spanish-language business materials. Ask the customer's preferred support language, but keep personalization text in the original form. IANA lists America/Bogota. Use that identifier for local approval deadlines and confirmed collection appointments.
Collect the item, quantity, requested personalization and delivery or pickup preference. Ask whether punctuation, accents and capitalization should appear exactly as supplied. Avoid translating names or dedications automatically. If a customer supplies text in another language, have them approve the displayed result rather than letting an agent guess its intended meaning.
Require approval of the final proof
For an explicitly illustrative example, imagine a gift studio preparing a notebook with a recipient's name on the cover. The customer changes one letter after seeing the proof and also asks for a different ribbon. The agent creates a revised proof for the name and records the ribbon as a separate choice. Production receives only the accepted version. This invented scenario does not claim a customer result, sales statistic or guaranteed finish.
Use stages such as brief received, text clarification, proof review, revision requested, approved for production and fulfilment check. Record who approved the final proof and when. If an organizer orders gifts for several recipients, check each personalization line rather than accepting a vague approval of the whole chat. Keep private recipient details limited to the fulfilment purpose.
Check fulfilment before announcing readiness
A requested occasion date belongs in the brief, but production and delivery checks determine what can be confirmed. Explain any pending dependency honestly. Before sending a ready message, check the completed item and accepted version. Before sharing tracking, verify the dispatch reference. If the delivery address changes, route the request to fulfilment instead of silently replacing the destination.
Handle a reported text error by comparing the accepted proof with the finished item and the customer's concern. Let an authorized colleague decide the remedy under the business's current policy. Do not use an automated draft to assign blame, promise a replacement or invent a delivery deadline.
Separate order updates from occasion campaigns
Ask permission for messages about the active gift order and separately for optional seasonal announcements. A recipient's address or phone number supplied for delivery is not consent to market to that recipient. Record opt-ins by purpose, honour stop requests and inspect scheduled audiences before sending. Check applicable WhatsApp template requirements for later outbound messages.
At shift change, prioritize proofs awaiting approval and orders with unresolved address changes. Leave the next colleague the current proof reference, accepted text and next action. Close the conversation after fulfilment and any remaining complaint have been reviewed.

Make dates and amounts unambiguous
A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone
Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use
Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.
Keep service messages and promotions separate
Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.
Give automation a clear boundary
Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
