A print supplier can answer a quote quickly and still create a costly misunderstanding if nobody records which artwork version the buyer accepted. Organize WhatsApp enquiries around a job reference that follows the request from specification to proof review and dispatch. The useful unit is the print job, not the latest message from a purchasing contact.

Collect a specification the production team can check

The International Trade Administration's Bangladesh guide identifies Bangla as the official language and describes English use in business. Ask whether the customer prefers Bangla or English replies, while keeping artwork text unchanged unless a correction is explicitly approved. IANA lists Asia/Dhaka for Bangladesh. Write proof deadlines with a full date and that local timezone rather than an unexplained end-of-day instruction.

Collect the product type, dimensions, quantity, paper or material request, finishing instructions and intended delivery destination. Ask for a usable artwork file through your supported process. Keep a record of what was supplied and what still needs checking. A customer's requested delivery date belongs in the brief, but production must confirm whether the schedule is feasible.

Separate the proof from the purchase decision

As an explicitly illustrative example, consider a stationery printer preparing business folders for a training company. The buyer approves the cover layout but then notices an old telephone number inside. The agent labels the corrected proof as a new version and asks for approval of that version before releasing the job. These invented details demonstrate a workflow; they are not a production statistic or a QuickWA customer story.

Use stages such as specification incomplete, quotation review, proof sent, correction requested, approved for production and dispatch check. Record who has authority to approve the proof. If two colleagues from the buyer disagree, ask them to identify the final approver instead of choosing the most recent reply. Explain which parts of the job are waiting and who is reviewing them.

Manage reorders without assuming nothing changed

A message saying same as last time should trigger a comparison with the previous specification. Confirm artwork version, quantity, material and delivery details again. Keep the historical job available as a reference, but create a fresh approval for the new order. If a configured integration shows stock or job status, compare it with the production record before sending a commitment.

Keep announcements permission based

Ask for consent to send job updates and offer a separate choice for product announcements. A submitted artwork file does not grant permission for unrelated broadcasts. Save the consent wording and date, make the opt-out route easy to understand and remove withdrawn contacts from pending audiences. Make dates and amounts unambiguous

A customer-facing quote should include the currency code, units and a full date. The examples below illustrate local formatting only; they are not QuickWA prices, exchange rates or payment offers. Keep order references and quantities unchanged when translating a reply. Ask a person to review any ambiguity before confirming the order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
