A custom furniture quote may change several times before the customer accepts it. The team needs to know which specification, finish and fulfilment arrangement belong to the current offer. Keep a proposal reference in the inbox so a customer's question about an earlier version does not accidentally authorize the newer one.

Make the working language part of the proposal

The International Trade Administration's Argentina guide describes Spanish as the national language and notes local differences in vocabulary. Have a reviewer familiar with the intended audience check furniture terms and customer-facing wording. Ask about the customer's language preference. IANA lists regional Argentina identifiers, including America/Argentina/Buenos_Aires and America/Argentina/Mendoza; choose the relevant location for dated consultations.

Collect the furniture type, dimensions and units, finish preference, quantity and intended installation location. Record customer-supplied measurements separately from any checked assessment. The proposal should show its version, scope and validity as defined by the business. Review changes before asking for acceptance

For an explicitly illustrative example, imagine a customer requesting a wider desk after receiving a proposal. The sales agent asks the workshop whether the design and material requirement must change, then sends a revised specification for acceptance. The original quote stays visible as history but is marked superseded. This is a hypothetical process, not an actual order result or a guarantee about workshop capacity.

Use stages such as measurements needed, design check, quote issued, revision review, accepted proposal and production readiness. Record acceptance of the identified version, not just a general positive reply. If the customer approves the finish but questions the dimensions, keep the proposal partly unresolved. A person should settle conflicting measurements before work is authorized.

Keep delivery decisions attached to the accepted scope

Before confirming fulfilment, check production status, delivery coverage and access requirements. State any arrival window according to your own operating record. If the customer changes the location, ask the responsible colleague to assess the effect on the proposal. Do not let an AI draft or unverified integration field invent completion dates, stock or installation commitments.

A post-delivery question should refer to the accepted specification and actual fulfilment record. Ask focused questions, preserve the customer's wording and route disputes to the authorized reviewer. Closing the chat does not remove an unresolved production or service task.

Keep future collection announcements optional

Ask consent for proposal and order updates, with a separate choice for new furniture collection broadcasts. Save the permission wording, date and language preference. A forwarded customer contact is not an independent opt-in. Honour withdrawals across pending campaigns and check applicable WhatsApp template requirements before initiating a later message.

At handover, review superseded quotes still being discussed and proposals awaiting a single remaining decision. Leave a short note identifying the accepted details and next responsible colleague.

What does a positive reply approve?

Confirm acceptance of the specific proposal version; a positive reply about one finish or detail does not necessarily approve the entire order.

Plan a reply in the customer's timezone

Choose a timezone and a date and time in your browser's timezone to see the corresponding customer time. Agree on actual opening hours with the business. Do not assume a country's capital represents every customer, and check the date as well as the hour when handing a conversation across borders.

Build an inbox handover that another person can use

Record the customer's preferred language, location, enquiry reference, last confirmed decision and next action. Assign an owner rather than leaving a conversation with an unnamed team. If a message needs translation, keep the original beside the reviewed reply. Use the local time reference above when promising a callback or collection window; a template must not invent stock availability, a booking or a delivery commitment.

Keep service messages and promotions separate

Ask for permission for the relevant message purpose and record how it was obtained. An order question is not a reason to add someone to every campaign. Respect stop requests across scheduled audiences as well as the current chat. Follow Meta's current messaging and template requirements, and check applicable rules with the responsible business before launching. Using WhatsApp Cloud API does not prevent account restrictions.

Give automation a clear boundary

Use forms for the details needed to handle an enquiry, templates for approved wording, and workflow steps for a checked next action. Escalate complaints, uncertain translations and changes to accepted orders to a person. Before launch, check plan access and test with sample records without sending paid messages or collecting real customer information. Monitor unresolved cases instead of treating an automated reply as a completed sale.
